We collect the minimum. We protect what we collect.

How Bhalai Foundation collects, uses, stores and protects information submitted through forms, donations, shop orders and programs.

Bhalai Foundation respects your privacy. This policy explains what information we collect through bhalai.org, why we collect it, how we use it, when we share it, and how you can contact us about your information.

1. Information we collect

Contact information: name, email, phone, WhatsApp number, city, organisation, role and message details.
Program information: details submitted through forms for volunteering, SpeedHire, Waste2Worth, Forest Forever, Future+ Digital Labs, Money Safety Clinics, Health+ First, Her+ Returnship, partner registration or beneficiary requests.
Donation and payment information: amount, donor details, PAN where required for receipts, payment reference and status. UPI/gateway processing happens with the payment provider — we do not store full card details on our systems.
Shop and delivery information: product selection, size, quantity, shipping address, order status and support messages.
Volunteer and badge information: volunteer actions, participation and GIVE+-eligible activity history.
Photos, stories and consent records: collected only for relevant programs and publication workflows, with consent status recorded.
Technical information: device, browser, IP, pages visited and analytics events where analytics is enabled.

2. Why we collect information

  • respond to enquiries and register volunteers, donors, partners and participants;
  • evaluate program suitability and capacity; run campaigns and events;
  • coordinate with implementation partners;
  • process donations, orders, refunds and receipts; ship merchandise;
  • maintain program records and GIVE+ proof;
  • send updates where you have opted in;
  • prevent fraud, misuse and false submissions;
  • meet legal, accounting, tax, audit and compliance obligations.

3. WhatsApp, email and follow-up

If you provide your number and opt in, we may send updates related to your enquiry, registration, donation, order, program status or campaign. We may use the WhatsApp Business API with approved templates in future. You may ask us to stop non-essential updates at any time.

4. How we share information

We do not sell personal information. We share information only when required for payment processing, shipping, sending updates, managing forms and admin workflows, program delivery through verified partners, audit/accounting/tax/legal needs, or protecting safety, dignity, rights and program integrity. Where a partner needs participant information, we share only what is necessary for that program.

5. Minors and students

Where programs involve students or minors, we seek parent or guardian consent before collecting or publishing personal details, photographs, videos, testimonials or identifiable stories. We do not knowingly use children's personal data for behavioural advertising, profiling or unrelated marketing.

6. Storage, security and retention

We use reasonable administrative, technical and organisational measures to protect information, with role-based access. No digital system can be guaranteed completely secure; if we become aware of a security issue affecting your information we will take appropriate steps under applicable law. We retain information only as long as needed for the purpose collected — some records (receipts, donations, orders, consent) may be kept longer where law or accounting rules require.

7. Your choices and rights

You may request access to the information you submitted, correction of inaccurate information, withdrawal from non-essential communication, deletion where retention is not legally required, or clarification on how your data is used. We may verify your identity before acting on a request.

8. Cookies and analytics

The website uses Google Analytics with IP anonymisation to understand aggregate page usage. No form contents are ever sent to analytics. You can control cookies through your browser settings.
